Job Summary:
The Administrative Assistant is responsible for ensuring the office functions are well maintained and properly managed in a professional atmosphere, adapting to the needs of and providing administrative support to the management team of the attraction(s).
This is a Part-Time position.
Key Responsibilities:
• Ensure the highest standards of service for both Internal and External customers.
• Promote a fun and friendly atmosphere in a challenging and fast-paced environment.
• Maintain confidential information on company and employee matters.
• Support the leadership team in various administrative and office support activities.
• Create, implement, and maintain support functions for back of house.
• Work with site & HR to support recruitment through activities including job fairs, phone screenings, interview scheduling, and candidate management.
• Work with site & HR to support delivery of onboarding through activities.
• Arranging/conducting an Induction program for all employees.
• Assist attraction leadership team in driving team Reward & Recognition initiatives.
• Perform clerical tasks, such as filing and arranging documents, employee files and invoices.
• Create, receipt, and maintain blanket POs for general Office vendors.
• Maintain a professional manner and provide general information relating to the attraction and company.
• Sort and distribute incoming and outgoing mail. Operate manual and electronic mailing equipment. Interact with courier companies.
• Maintain office, breakroom, and uniform supply levels. Process and distribute monthly orders supply for entire attraction.
• Greet and direct back of house visitors, including vendors, clients, job candidates and attraction guests.
• Ensure noticeboards are up-to-date and all back of house hallways and general areas are well-kept.
• Ensure completion of sign-in paperwork and security procedures.
• Troubleshoot and solve problems which deter the office from operating at an optimum level.
• Operate and ensure all office equipment, including fax, copier, and printer, is maintained.
• Assisting departments during high volume periods and completing special projects.

Education and Experience:
High School diploma or GED. Customer service experience is preferred. Any combination of training and/or experience which demonstrates ability to perform the duties as described; a typical qualifying background would include experience working in an office environment involving public contact. Working in a fast paced, multi-task environment. Excellent verbal and written communication skills. Knowledge of standard types of office filing systems, proper telephone etiquette and techniques; standard office software applications; standard office equipment. Using various software applications; organize and prioritize work; perform basic research and report results; proofread material and make necessary corrections; learn and follow standard office procedures; learn appropriate filing and recordkeeping systems; select appropriate business formats; work cooperatively and effectively with management, staff, and the public.
Licenses and Certifications:
Ability to obtain related licensures or certification as may be required to perform the essential function of the position or as required by law.
