Merlin Entertainments, the global leader in attractions and entertainment, is seeking an Administrative Assistant to provide full, high-level support to the President of LEGOLAND FL Resort. This role will handle a variety of administrative duties including but not limited to calendar management, organizing meetings and travel arrangements, collating and managing expenses and reporting. Individuals must be able to demonstrate confidentiality in relation to sensitive information and documentation.
Please note: This is a fully onsite position at LEGOLAND FL in Winter Haven, FL. There is no opportunity to work remotely.
Key Responsibilities
- Manage calendars of the President LEGOLAND Florida Resort, ensuring their time is used efficiently and effectively.
- Arrange meetings to ensure all commitments are met and schedules run smoothly across multiple time zones/locations.
- Coordinate meeting schedules, ensuring all attendees are aware of relevant information.
- Support executives in managing their travel while ensuring adherence to the T&E policy.
- Set up Vialto Visa requirements.
- Submit travel expenses timely and accurately in line with the finance policy and controls, working with Finance to resolve any issues.
- Process purchase orders in a timely and accurate manner regularly reviewing NetSuite to ensure they’re progressing through the appropriate system with the correct approvals.
Additional Responsibilities:
- Be a D&I and Charity Champion raising the profile and providing coordination for initiatives within the corporate offices.
- Provide onboarding support for new joiners, ensuring successful integration into the business.
- Assist in providing ‘front line’ service to all people both internally and externally.
- Arrange off site conferences/meetings/training courses ensuring costs are kept within set budget.
Experience and Qualifications
- 2+ years in an administrative capacity supporting senior executives.
- Proactive self-starter with the ability to quickly build rapport with both internal and external stakeholders.
- Experienced in organizing detailed and complex travel arrangements.
- Strong working knowledge of Microsoft office with Excel, Outlook, Word and PowerPoint. Visio and AI experience a plus!
- Excellent communication skills with the ability to meet tight deadlines, manage conflicting priorities, and work well under pressure.
- Ability to analyze and filter sensitive and complex material into a presentable and logical format while maintaining confidentiality.
- Ability to quickly build rapport with both internal and external stakeholders.
