We’re looking for a Payroll Specialist to ensure accurate, on-time payroll processing for employees across the U.S. In this role, you’ll take the lead on payroll audits, balance accounts, streamline processes through SOP development, and serve as a go-to expert for internal teams. Qualifications & Experience

Key Responsibilities:

  • Process and manage weekly payroll for U.S. employees, ensuring compliance with all federal, state/provincial, and local regulations.
  • Conduct detailed audits of payroll data and employee records to ensure accuracy and integrity of each payroll cycle.
  • Balance payroll registers, tax filings, and general ledger accounts, resolving discrepancies proactively.
  • Lead and implement process improvements to increase accuracy, efficiency, and compliance across all payroll operations.
  • Develop and maintain clear and effective Standard Operating Procedures (SOPs) for payroll processes and controls.
  • Work independently to manage timelines, research issues, and ensure the highest level of accuracy and confidentiality.
  • Serve as a subject matter expert and resource for employees and management on payroll-related matters.
  • Provide exceptional customer service, resolving inquiries in a professional and timely manner while meeting SLA requirements.
  • Educate employees and managers on payroll procedures, policies, and timelines.
  • Ensure payroll compliance across all jurisdictions by staying informed of legislative changes in the U.S. and Canada.
  • Collaborate with HR, Benefits, and Finance teams to coordinate data and maintain accurate payroll records.
  • Support internal and external audits by preparing accurate documentation and responding to auditor requests.

Qualifications

  • Bachelor’s degree in Accounting, Finance, Human Resources, or equivalent practical experience.
  • 2+ years of payroll experience, including direct experience with weekly payroll processing in the U.S. California payroll experience preferred.
  • Strong knowledge of payroll systems (e.g., UKG, WFM (formerly Kronos)) and advanced Excel skills.
  • Experience balancing payrolls and performing payroll account reconciliations.
  • Demonstrated ability to work independently and handle sensitive information with discretion.
  • Exceptional attention to detail, time management, and problem-solving skills.
  • Strong interpersonal and communication skills with a commitment to delivering excellent service.
  • Experience with Fresh Desk or an equivalent ticketing system is preferred.
