The Administrative Support Specialist provides high-level administrative support to the SVP, Managing Director of North America, as well as the broader North America regional leadership team while playing a critical role in ensuring the seamless operation of the Orlando Hub office.

 

This role requires exceptional organizational skills and attention to detail, managing a wide range of responsibilities including calendar coordination, travel planning, event execution, communication support, expense reporting, and general office operations.

 

This individual will act as a liaison between regional and global administrative teams, ensuring adherence to company policies related to travel, expenses, and administrative protocols. A high degree of professionalism, discretion, and confidentiality is essential in handling sensitive information and interfacing with senior stakeholders.

 

Executive Support

  • Manage the SVP’s complex calendar, scheduling meetings and appointments across time zones, and coordinating travel in full compliance with the company’s T&E policy.
  • Provide similar travel and meeting support to members of the regional leadership team as needed.
  • Organize and facilitate internal and external meetings, ensuring all logistics are handled and necessary materials are prepared in advance.
  • Submit travel expenses accurately and promptly, working with Finance to address any discrepancies.
  • Serve as a professional and efficient point of contact for all internal and external inquiries.
  • Build strong relationships with key stakeholders, including executive assistants, to foster seamless coordination and communication.

Office Management

  • Oversee office space allocation, ensuring compliance with company policy and efficient utilization of space.
  • Maintain a welcoming and functional office environment, ensuring supplies are stocked, equipment is operational, and break areas are well-maintained.
  • Act as the primary liaison with the property management company on facility matters, including building maintenance and communications.
  • Coordinate office services, including scheduling vendors and overseeing maintenance.

Ad-Hoc Admin Support

  • Plan and coordinate internal and client-facing events as needed.
  • Support the development and implementation of office procedures and best practices.
  • Participate in company-wide meetings and events, contributing to broader organizational initiatives.
  • Provide frontline support to visitors and internal staff, ensuring a positive and professional experience.

Qualifications & Experience

Key Qualifications & Experience

  • Extensive senior-level administrative support experience, ideally in a regional or global capacity supporting executive leadership.

  • Demonstrated ability to build rapport and work collaboratively with a wide range of internal and external stakeholders.

  • Exceptional organizational skills, with the ability to manage multiple tasks, priorities, and deadlines with keen attention to detail.

  • Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with strong digital literacy across administrative platforms.

  • Excellent written and verbal communication skills, with a professional and articulate presence.

  • Proven expertise in coordinating complex domestic and international travel arrangements for individuals and groups.

  • High degree of professionalism, discretion, and confidentiality in handling sensitive or high-level information.

  • Skilled at operating in fast-paced, dynamic environments, with the flexibility to adapt to evolving needs and priorities.

  • Experience in office operations and facilities management, including vendor relations, space planning, and inventory control.

  • Strong analytical thinking and the ability to synthesize complex information into clear, actionable insights.
