ROLE SUMMARY

 

Located in Orlando, Florida, the Project Coordinator plays a pivotal role in supporting the MMM Project Delivery team in the USA. This role ensures seamless project operations from initiation to completion, reporting directly to the MMM Project Director – The Americas. The Project Coordinator oversees financial processes, supplier coordination, budget tracking, contract preparation, and project documentation, contributing to the efficient execution of high-impact initiatives.

 

In addition to project management responsibilities, the role provides essential administrative support, including calendar management, report preparation, and communication facilitation with stakeholders. With a strong focus on organization and efficiency, the ideal candidate possesses a background in Engineering or Construction Management (preferred), robust financial acumen, and thrives in a dynamic, fast-paced environment.


KEY ACCOUNTABILITIES

 

Project Support

  • Coordinate project activities across all stages in collaboration with the Project Director and team.

  • Monitor North America’s capex investment plan, manage delegated tasks, and ensure deadlines are met.

  • Facilitate the handover of completed projects to operating teams, ensuring documentation and processes are properly managed.

Financial Management

  • Manage the North American Project Delivery Team’s travel budget, ensuring cost-effective arrangements align with company policies.

  • Collaborate with financial business partners and project managers on project Request for Proposals (RFPs).

Administration and Coordination

  • Provide calendar management, prepare presentations, and draft contracts.

  • Arrange travel and prepare detailed agendas for the Project Director.

  • Maintain accurate and organized filing of project documentation, including contracts, reports, and manuals.

  • Facilitate meeting agendas, document minutes, and track action items for timely follow-ups.

Supplier and Vendor Management

  • Liaise with suppliers to ensure compliance with procurement procedures and standards.

  • Track contractor compliance, including insurance, lien releases, and billing documentation.

  • Conduct due diligence on potential contractors and consultants.

Stakeholder Communication

  • Serve as a central point of contact for internal and external stakeholders.

  • Prepare and distribute monthly development updates and executive board papers.

  • Provide timely, accurate information and responses to queries on behalf of the Project Director.

Process Improvement

  • Act as a Change Champion to enhance purchase order adoption and process consistency.

  • Collaborate with project managers to refine coordination workflows.

  • Proactively identify skill development opportunities and elevate the quality of services provided.

 

 

 

 

Qualifications & Experience

EXPERIENCE AND QUALIFICATIONS

  • Background in construction coordination, administration, or management preferred.

  • Experience in theme parks, legal administration, or corporate administration is beneficial.

  • Strong financial and budget management experience.

  • Familiarity with procurement processes and contract administration.

  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint; MS Project is a plus).

  • Ability to read and interpret blueprints, manuals, and safety documents.
