Are you passionate about creating exceptional guest experiences while building meaningful relationships in your community? 🌟 As a Schools & Group Coordinator, you'll serve as the primary point of contact for school groups, tour operators, and other organizations, guiding them through the entire reservation process from the first inquiry to a successful visit. This role combines customer service, group sales, event coordination, and marketing support to help drive attendance and create unforgettable experiences.

What You'll Do:

  • Manage the complete group reservation process from initial inquiry through post-visit follow-up.
  • Provide information and recommendations to schools, tour operators, organizations, and potential group customers.
  • Book group reservations and serve as the primary contact throughout the planning process.
  • Welcome groups upon arrival and help ensure a smooth, positive guest experience from start to finish.
  • Respond promptly to guest inquiries, reviews, and customer feedback.
  • Build and maintain strong relationships with schools, travel partners, community organizations, and group leaders.
  • Prospect, negotiate, and secure new and repeat business to achieve attendance and revenue goals.
  • Coordinate special events, promotions, familiarization tours, and group programs.
  • Conduct client outreach, sales presentations, and follow-up communications to strengthen partnerships.
  • Collaborate with operations and marketing teams to support group visits, events, and overall marketing initiatives.
  • Monitor industry trends and identify opportunities to grow group attendance and revenue.
  • Prepare booking, attendance, and revenue reports for leadership.
  • Maintain event schedules, client communications, promotional materials, and sales records.
  • Support additional marketing and business development efforts as needed.

Qualifications & Experience

What You'll Bring:

  • High school diploma or GED required; college degree preferred.
  • 2+ years of customer service, hospitality, tourism, event coordination, sales support, or related experience.
  • Experience handling reservations, guest inquiries, or inbound customer interactions is a plus.
  • Strong communication and relationship-building skills with a customer-first mindset.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Excellent organizational and problem-solving abilities.
  • Comfortable communicating with clients, conducting follow-up outreach, and supporting sales initiatives.
  • Proficiency with Microsoft Office and other business systems.
  • A positive, professional attitude and passion for creating memorable guest experiences. 🎉
