The Schools and Group Sales Coordinator plays a key role in creating memorable experiences for our school and group guests. This position oversees every step of the group reservation process, from the first inquiry to welcoming groups on-site for their visit. The Coordinator provides exceptional service and clear communication to ensure each group’s needs are met, while also supporting administrative functions for the attraction. This role requires strong organization, attention to detail, and a guest-first mindset to deliver smooth, efficient, and unforgettable group visits. ✨

 

Qualifications & Experience

Key Responsibilities:

  • Build and nurture lasting relationships with schools, tour operators, and group clients — creating magical experiences from the very first inquiry to the group’s arrival.
  • Drive bookings and revenue by actively soliciting, negotiating, and securing new and repeat business.

  • Coordinate group visits and special events, ensuring every detail runs smoothly and every guest feels like a VIP.

  • Represent the attraction at trade shows, familiarization tours, and community events to grow awareness and excitement.

  • Keep track of all bookings, reports, and client communications with accuracy and enthusiasm.

  • Support marketing campaigns and promotions that help boost group attendance and engagement.

  • Collaborate with internal teams to guarantee seamless operations and unforgettable guest moments.

  • Provide stellar administrative support to keep our attraction running at its best, including:

    • Assisting with recruitment, interviews, and onboarding for new team members.

    • Helping to plan and deliver fun team engagement and recognition activities.

    • Managing purchase orders, mail, supplies, and vendor coordination.

    • Maintaining organized files and records to support attraction operations.

    • Jumping in to support departments during peak seasons or special projects.

  • Take on additional tasks as needed - because every day is an opportunity to make magic happen!

Education and Experience

  • 🎓 Education: High school diploma or GED required; college degree preferred.
  • 💼 Experience: At least two years of customer service or sales experience, ideally in attractions, tourism, or hospitality. Experience with group sales or inbound call centers is a plus!
  • 🗣️ Communication: Strong verbal and written communication skills with a guest-first mindset.
  • Skills: Highly organized, adaptable, and thrives in a fast-paced, dynamic environment.
  • 💻 Tech-Savvy: Proficient in Microsoft Office (Word, Excel, Access) and eager to learn new systems.
